Fill a field automatically

Updated Oct 18, 2026

A field can fill itself instead of waiting for someone to type. Every field has a Fill setting with four choices: Manual, Default, Formula and AI. To open it, click the column header and choose Autofill, or open the field's settings and go to Fill.

What can fill itself?

FillWhat it doesField types
ManualPeople set the value. Every field starts here. All
DefaultNew items start with a value you pick.Select, Multi-select, Status, Employee, Employee List, Team, Team List, Job, Job List, Date
FormulaThe value is calculated from other fields of the item. No AI credit used.Select, Status, Multi-select, Short text, Long text, Number, Rate, Checkbox, Date, Employee
AIAI decides the value from the fields you pick, following your instruction.Select, Status, Multi-select, Short text, Long text, Number, Rate, Checkbox, Date, Employee

A field that fills itself is still an ordinary field: people can edit it, and you can filter and sort by it like any other.

Set up an AI fill

  1. Click the column header and choose Autofill, then choose AI.
  2. Under Instruction, write what the AI should decide, in a sentence or two. Name the options as they appear in the field, for example: Bug if it reports something broken, Feature if it asks for something new.
  3. Under Reads, pick the fields the AI may use. The AI sees only these fields of the item.
  4. Check the Answer. Its shape depends on the field type (see the table below). For a Number field you can set Min and Max; for Multi-select, At most.
  5. Under When to fill, choose when the fill runs: When an item is created, The first time a field gets a value, or Every time one of these fields changes. For the last two, pick the fields to watch.
  6. Under Mode, choose Only when empty or Keep updated.
  7. Save. New items fill from now on. To fill the items already in the sheet, use Fill existing rows… (below).
Field typeWhat the AI answers
Select, StatusPicks one of the field's options
Multi-selectPicks one or more of the options, up to At most
Short textOne line of text, up to 255 characters
Long textA few paragraphs of text, up to 10,000 characters
NumberA number from Min to Max. An answer outside this range is not written
RateA whole number from 1 to the field's star count
CheckboxYes or no. Only an unset checkbox is filled
DateA date the AI reads from the item. Turn on Include time for a time as well; times use your time zone
EmployeeOne member of this workspace, never a name that is not a member

If the instruction or the fields to read are missing, the Fill setting tells you before you save: "Write what the AI should decide." or "Pick at least one field for the AI to read."

Set up a formula fill

  1. Click the column header and choose Autofill, then choose Formula.
  2. Write the formula. Type / to insert a field or a function. For example, IF(CONTAINS(Description, 'error'), 'Bug', 'Feature') gives Bug when the description mentions an error and Feature otherwise.
  3. Check the preview. Preview on shows the result on a real row and whether it fits the field. When it does not, the preview says why, for example that the result is not an option of this field.
  4. Choose When to fill and Mode, the same as for an AI fill.
  5. Save. From now on a new item gets its value the moment it is created. To fill the items already in the sheet, use Fill existing rows….

A formula can use the other fields of the item, arithmetic (+, -, * and /) and comparisons such as > and ==, and the functions IF, CONTAINS, TODAY, days_from, days_to, days_between and round. It cannot read the field it fills, and it can be up to 2,000 characters long. If a formula gives no value on a row, that row's field is left as it is.

Formula fill or Formula field? A Formula field shows a calculated value that nobody can edit. A formula fill writes an ordinary value into an ordinary field, so people can still change it. See Formula fields for the Formula field.

Give new items a default

Choose Default and pick the Value for new items. Every new item that arrives without a value in this field gets it, for example a starting Status or the account manager who takes most new work. Items that already exist are not changed.

Only when empty or Keep updated?

  • Only when empty fills the field only while it has no value.
  • Keep updated fills it again each time the trigger fires.

In both modes, values a person sets are never changed. When someone edits a filled value, the value becomes theirs, and later fills leave it alone. Only a refill you start yourself replaces it (see below).

Fill existing rows and refill

Fill existing rows… fills the items that were in the sheet before you set up the fill. Open it from the Fill setting or from the column header menu, then choose a Scope:

  • Empty cells only. Rows where the field has no value.
  • Empty and AI-filled cells (for a formula: Empty and auto-filled cells). Also redoes values the fill wrote before.
  • All cells, including values set by a person. Replaces values people chose.

The dialog shows Rows to fill and, for an AI fill, the Estimated cost. Start it with the button that names the row count, for example Fill 184 rows.

  • One run fills up to 2,000 rows: the first 2,000 in sheet order. Run Empty cells only again afterwards for the rest.
  • Rows are filled in batches of 50. You can close the window; progress also shows in the field's Fill section.
  • Cancel fill stops the run. Values already filled stay.
  • If the AI budget runs out, the run stops with Stopped: out of AI credit. Rows already filled keep their values. The workspace owner can use Buy AI credit and run it again.
  • Fill existing rows… is available only while the fill is on.

To redo one cell, hover it and click the refill icon: Refill with AI, or Recalculate for a formula. If the AI does not answer, the old value stays and you can try again.

To redo several rows, select them in the table and click Refill with AI in the selection bar, then choose the columns. The summary shows rows × columns = AI runs. A refill you start this way replaces values people set too, because you asked for it. With more than 50 rows selected, the Fill existing rows dialog opens for your selection.

See what was filled

  • A field that fills itself shows ✨ (AI) or ƒx (formula) after its name, in the column header and in Sheet settings › Fields, while the fill is on.
  • Hover a filled cell to see where the value came from, for example Filled by AI · 18 Oct · from Title, Description or Filled by formula · ….

Let AI add options

For Select, Status and Multi-select fields, switch on Add a new option when nothing matches. When no existing option fits, the fill adds a new one to the field instead of leaving it empty.

  • At most 5 new options are added per fill, and none once the field holds 100 options.
  • New Status options go into To do.
  • If two options have the same name, rename one so the AI can tell them apart. Fill existing rows… waits until you do.

What does it cost?

  • Manual, Default and Formula use no AI credit.
  • AI: each row the fill writes is one AI run, billed like an Agent run from your workspace's monthly AI budget. Fill existing rows… shows the estimated cost before it starts. See The AI budget.

Rows from workflows, agents and email

Rows that a workflow, an AI agent or an email to the sheet creates or changes start autofill the same way as rows people add.

Each AI or formula fill also appears in the sheet's workflows, grouped under Autofill and marked "Managed by the … column's Fill setting." It is read-only there: change it from the column with Edit Fill, or Detach it to edit it as a normal workflow. Detaching switches the column's Fill to Manual.

FAQ

Will a fill change a value someone typed? No. Only when empty and Keep updated never change a value a person set. Only a refill you start yourself does: Refill with AI on a cell or a selection, or Fill existing rows with the scope "All cells, including values set by a person".

What happened to the AI Text field? It was retired. Existing AI Text fields became Long text fields and kept their values. To have AI write into a field, set a Long text field's Fill to AI.

Can I use autofill on the Free plan? Yes. Every plan can use AI fills, drawing on the plan's AI budget, and formula fills are free.
