Connect email: IMAP and SMTP

Updated Oct 23, 2026

Email connects in two independent directions. Most teams want one or both, and they are set up separately.

IMAP — bringing mail in

Connects a mailbox so incoming messages can become records. Useful for a shared address like hello@ or support@, where a message is really a request that should be tracked rather than left in an inbox.

  1. Profile settings → Connections → IMAP → Connect.
  2. Enter the server, port and credentials from your mail provider.
  3. Choose the mailbox to watch.

SMTP — sending out

Sends mail from your own domain rather than a generic address, so what arrives looks like it came from your company.

  1. Profile settings → Connections → SMTP → Connect.
  2. Enter the server, port and credentials.
  3. Send a test.

App passwords

If your mail provider has two-factor authentication, your normal password will usually be rejected — you need an app password generated in that provider's security settings. This is the single most common reason an email connection fails, and the error rarely says so.

Notes

  • IMAP and SMTP are separate. Reading mail does not let you send, and sending does not let you read.
  • An amber dot means the credentials stopped working — often a password change at the provider. Manage → reconnect.
  • Getting the server and port right matters; your provider documents both.
  • Sending from your own domain means their deliverability rules apply. If mail is not arriving, check with whoever manages your domain.
