The Planner is your personal workspace for the day. It gathers every open task assigned to you, from every sheet in every space, and lays your day out around your meetings. Open it from the Planner tile in the dock. The sidebar has Today, Week, Review, My Tasks and Goals, and the Create menu offers New Task, New Goal and New sprint.
Dana, Atwork's AI assistant, can draft a plan for your day. You read the plan and decide: nothing lands on your timeline until you accept it.
What shows up on Today?
Today lists your open tasks that are due today or have no due date. Anything past its due date sits below them under Overdue, and finished tasks drop off the list.
- The header shows a greeting and the date, the Close out day button, and a pill with your working hours, such as "9:00–17:00, Mon–Fri".
- Today at a glance counts Done today (done out of total, with a percentage), Overdue and Meetings. Once you accept a plan, a Dana plan card joins them.
- If you have no open tasks at all, Today shows Let's set up your day. Pick a task sheet to pull from opens a new task form so you can add your first one.
How do I add a task quickly?
Type in Quick add a task — press Enter to save and press Enter. The task is created on the task sheet named at the end of the box, assigned to you, with no due date, so it shows on Today straight away.
- Click the sheet name to send new tasks to a different task sheet. Atwork remembers your choice on this browser.
- Press Esc to clear the box.
- Only task sheets are offered. See Tasks and My tasks for what makes a sheet a task sheet.
How does Dana plan my day?
Dana drafts a plan from your open tasks, your calendar and your working hours. The plan says which tasks to work on and when, and which tasks it left out and why. You accept it or ask for another one.
- The first time you open Today on a workday with open tasks, Dana drafts a plan by itself. Otherwise the banner reads "No plan for today yet — Dana can draft one from your tasks and calendar." Click Plan my day to get one.
- While Dana works you see "Generating your plan...". The banner then counts the Blocks proposed and the tasks Skipped.
- Why this? opens Why this plan. Under Why these tasks, in this order? each planned task has Dana's reason, and under What I skipped and why each skipped task has its reason. Read it before you accept.
- Looks good accepts the plan. Its blocks appear in the day lane, the banner goes away, and the Dana plan card shows how many tasks are planned ("to work"), how many were skipped, and a Why this? link to the same reasons.
- Re-plan asks Dana for a fresh draft. It is available until you accept; after that, the plan stands for the day. Re-plans are limited per day.
- Dana only proposes blocks that start after the current time, so a plan drafted late in the day can be short or empty. When no block fits, Looks good doesn't appear.
- If drafting fails you see "Couldn't generate your plan — the AI is unavailable right now." Click Retry.
How you rated your last day also shapes the plan: see Close out your day and review your month.
What is the day lane?
The timeline beside your list runs through your working hours and shows your meetings and the blocks from your accepted plan.
- Click a block to open its task.
- Click a meeting to see its details. When the meeting has a Google Meet, Zoom or Teams link, the join link is shown with a copy button.
- When you have no meetings and no accepted plan, the lane says Nothing scheduled yet. On a day that isn't one of your workdays it says No schedule for today (non-workday).
- Your working hours and workdays come from Profile → Settings → Working hours. If you haven't set them, Atwork assumes Monday to Friday, 9:00–17:00. See Working hours and availability.
- Meetings appear once your calendar is connected: see Connect Google Calendar.
How do I track time on a task?
Click the play button on a task row to start its timer. A Tracking now card appears at the top of Today with the task name and the elapsed time. Click Stop to pause it.
Tracked time adds up on Week, under Logged and Tracked time this week, and on Review, under Hours tracked.
What does the Week page show?
Week shows your week against your capacity: what you committed to, what you logged and what is still free.
- The header reads Week of and the date range. Use the arrows to move to the previous or next week, and This week to come back.
- A pill counts your overdue tasks, such as "3 overdue", whatever week they were due in.
- Active sprints appears when a sprint is running today.
- Week at a glance has four numbers:
- Capacity: the total focus hours in your working week.
- Committed: the hours planned in blocks.
- Logged: the time tracked with timers.
- Free: capacity minus committed time and meetings.
- This week is overcommitted appears when your committed hours exceed your capacity, with both numbers.
- The grid has one column per day. Tasks due that day sit at the top, and blocks and meetings sit on the hours below. Click a task or a block to open it.
- Backlog, at the bottom, lists your open tasks with no due date. It starts collapsed.
What is My Tasks?
My Tasks shows your tasks as a board with four columns: Backlog, Todo, In Progress and Done. Drag a card to another column to change its status: Atwork sets the first status in that group on the task's own sheet. Dropping a card on Backlog clears its status. New Task, at the top, adds a task.
On this board, Backlog means a task with no status. On Week, it means a task with no due date.
How do I end the day?
Before you stop, click Close out day on Today. You decide what happens to unfinished tasks, rate the day and leave a note. Close out your day and review your month covers it step by step.
If something is missing
Why isn't my task on Today? Check four things:
- It is assigned to you. Being mentioned is not the same as being assigned.
- It isn't due on another day. Look on Week.
- It isn't already done.
- Its assignee is a proper assignee field, not a name typed into a text field. See Tasks and My tasks.
Why didn't Dana plan anything? Dana drafts by itself only on a workday when you have open tasks. On other days, click Plan my day. A plan drafted late in the day may have no blocks, because Dana only schedules time that is still ahead of you.
Can I put a task on the timeline myself? No. Blocks come from a Dana plan you accept. To move work to another day, change the task's due date. To get a different plan, click Re-plan before you accept.
