About this template

A content calendar for agencies: every client's posts, articles and newsletters in one sheet, each with the date it must reach the client and its approval state.

What's inside

  • Content — one row per piece, with its client, channel, format and campaign, and two dates: Publish date and Send to client by
  • Status for production (Planned → Drafting → Internal review → Ready to send → Scheduled → Published) and a separate Client approval (Not sent, With client, Changes requested, Approved), plus a Revision round count
  • Clients — the named approver, their review turnaround in working days, and the pieces per month you sold
  • Channels — the places you publish for each client
  • Dashboards — pieces by client approval, production status and format, and pieces sold per month across clients
  • Getting started and Approval rhythm pages, with sixteen sample pieces across four clients

Why two dates: the client sets the publish date, but the date your team owes is earlier — the publish date minus the client's review time. A client who needs five working days and one who needs one can share a publish day and still need their pieces on different days. Content is a task sheet, so each piece shows up in its owner's My Tasks by the send date, not the publish date.

Why approval is its own column: "ready" and "approved" are different facts. Keeping them apart shows at a glance what is finished on your side but waiting on the client, and what came back with changes.

No module required. Pairs with Retainer Management & Utilisation for what each client pays for, and Creative Production & Review for the design work behind the posts. For the approval side, read why revision rounds multiply.
