About this template

Retainer tracking for agencies: what you sold, what you actually delivered, and the gap between them.

What's inside

  • Retainers — one row per recurring engagement, with the monthly fee and the hours sold
  • Time Entries — what was actually delivered, by whom, in which month, each marked Billable, Non-billable or Over-servicing
  • Scope Changes — every extra request, with its hours impact and what you did about it: Absorbed, Quoted or Declined
  • People — capacity per month and cost rate, so utilisation is measured against something real
  • Dashboards — retainer MRR and hours sold, hours delivered by type, and where the absorbed work went

Why hours sold and hours delivered are separate columns: they are different numbers, and the gap between them is over-servicing. Most agencies can feel that gap by the third month of a retainer but cannot show it, so it never makes it into the renewal conversation. Logging it turns "this client is demanding" into "we absorbed twelve hours last month across three requests, none of them quoted" — which is a conversation you can actually have, with a number attached.

No module required, so it installs into any workspace. Pairs with Agency Client Delivery for the work itself, and Agency CRM for the deal that created the retainer.
