Freelancer & Subcontractor Management

Who is booked, what they cost, and whether the paperwork exists

About this template

A freelancer management template for agencies: the bench, who is booked on what, what you owe them, and whether their paperwork is actually on file.

What's inside

  • Freelancers — the bench, with discipline, day rate, availability and an onboarding state so you know who is genuinely ready to work
  • Bookings — as tasks, so a booking sits in someone's list with a date. Each carries the agreed rate for that job and a state that separates Pencilled from Confirmed
  • Invoices — Awaited → Received → Approved → Paid, with the amount. The stage that hurts is Awaited, because it is invisible everywhere else
  • Compliance Docs — contract, NDA, insurance, tax form, each On file, Expiring or Missing
  • Dashboards — the bench by availability and discipline, spend and invoice state, paperwork gaps

Why Pencilled and Confirmed are different states: a pencilled freelancer is a hope, and treating one as booked is how a deadline moves without anyone deciding to move it. Two words in a column prevent a category of scheduling failure.

Why compliance is a sheet and not a folder: the expensive freelancer problem is almost never finding people. It is booking someone whose insurance lapsed, or discovering in month three that nobody ever countersigned the contract. Those are states, so they belong in a column where they can be filtered and charted.

No module required, so it installs into any workspace. Pairs with Agency Client Delivery, whose Deliverables link to the freelancer booked on them, and Retainer Management & Utilisation for what the work costs you.
