Privacy Policy

Effective date: 17 October 2026

This Privacy Policy explains how Atwork Solutions (“Atwork”, “we”, “us” or “our”) collects, uses, shares and protects personal data when you visit our website, create an account, or use our workspace platform and related services (together, the “Service”). It also describes your rights and how to exercise them.

We are based in the Netherlands. If you do not agree with this Policy, please do not use the Service.

1. Who is responsible for your data

Data-protection law distinguishes between a “controller” (who decides why and how data is processed) and a “processor” (who processes data on a controller’s behalf). Our role depends on the data:

  • We are the controller for personal data relating to your account and use of Atwork — for example registration details, billing information, website and product usage, and our communications with you.
  • We are a processor for the content you and your team put into your workspace (“Customer Content” — sheets, documents, tasks, files, form submissions and the personal data they may contain). Here, the customer (your organization) is the controller and decides what to store and why. Our processing of Customer Content is governed by our Terms and, where applicable, a Data Processing Agreement (DPA). If you are an end user or data subject and want to exercise rights over Customer Content, please contact the organization that operates your workspace; we will assist them as their processor.

2. Information we collect

Information you provide

  • Account & profile: name, email address, password (stored hashed), workspace name, job role and any profile details you add.
  • Billing: plan, billing contact and transaction records. Card details are collected and processed by our payment processor, not stored by us.
  • Customer Content: the data you and your team create, upload or import into the workspace.
  • Support & communications: messages, feedback and information you share when you contact us.

Information we collect automatically

  • Usage & device data: pages and features used, actions taken, IP address, browser and device type, approximate location derived from IP, and timestamps.
  • Log & security data: access logs, error reports and information used to detect and prevent abuse.
  • Cookies & similar technologies: see the Cookies section below.

Information from third parties

  • Integrations: if you connect a third-party service, we process the data you authorize that integration to share.
  • Single sign-on & login providers: if you sign in with a provider (e.g. Google), we receive basic profile information from them.

3. How we use personal data, and our legal bases

Where the GDPR applies, we rely on the following legal bases:

  • To perform our contract with you — creating and securing your account, providing the Service and its features, processing payments and providing support.
  • Our legitimate interests — keeping the Service secure and reliable, preventing fraud and abuse, understanding and improving how the Service is used, and marketing our products to business contacts (you can opt out at any time), where these interests are not overridden by your rights.
  • Your consent — for optional cookies and certain communications, where consent is required. You can withdraw consent at any time.
  • Legal obligations — for example tax, accounting and responding to lawful requests from authorities.

4. AI features and your content

Atwork includes AI features that process your prompts and relevant workspace content to generate responses, summaries, drafts and automations for you. We do not sell your data, and we do not use your private Customer Content to train third-party or foundation models. Some AI features are powered by sub-processors that process content solely to return a result to you and under contractual terms that prohibit using it to train their models. We may use aggregated or de-identified data — which cannot reasonably be used to identify you — to operate and improve the Service.

5. Google user data (Google API Services)

When you sign in with Google or connect a Google integration, we access certain Google user data through Google APIs, with your permission. This section explains what we access, how we use it, who we share it with, and how long we keep it.

What Google user data we access

  • Google Sign-In: your name, email address, profile picture and Google account identifier.
  • Google integrations you connect (such as Google Calendar): the data covered by the scopes you approve — for example your calendar events, availability (free/busy) information, and the ability to create or update events on your behalf — used only to provide the features you enable.

How we use Google user data

  • Sign-in data authenticates you and creates or secures your account.
  • Calendar and other integration data powers the specific features you turn on — for example showing your events, checking availability, and scheduling or creating meetings.

We do not use Google user data for advertising, and we do not sell it. Our AI features do not process Google user data: data synced from your connected Google account (such as Google Calendar events) is excluded from our AI features and is never transferred to our third-party AI providers, and Google user data is never used to develop, improve or train any AI or machine-learning model. The use of raw or derived user data received from Google Workspace APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Who we share Google user data with

We share Google user data only as needed to provide the Service: with the sub-processors that host and operate our infrastructure (listed at atwork.so/subprocessors), under confidentiality and data-protection obligations; within your workspace according to the permissions you and your administrators set; and where required by law. We do not otherwise transfer or disclose Google user data to third parties.

Retention and deletion of Google user data

We keep Google user data only as long as needed to provide the features you use and while your account is active. You can revoke our access at any time by disconnecting the Google integration in Atwork or through your Google Account permissions at myaccount.google.com/permissions. When you disconnect an integration or delete your account, we delete or de-identify the associated Google user data within a commercially reasonable period, except where we must retain it to comply with legal obligations. You can also email [email protected] to request deletion.

Limited Use. Atwork’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

6. Instagram data (Meta Platform)

When you connect an Instagram professional account to Atwork, we access certain data from Instagram through Meta's Instagram Platform, with your permission. This section explains what we read and store, why, how long we keep it and how you can delete it.

What Instagram data we read

  • Your Instagram account id and username.
  • Basic profile information, such as your account name and profile picture.
  • Depending on the permissions you approve when you connect: your media (posts, reels and stories), their insights (such as reach and engagement) and the comments on them, and the ability to publish content or reply to comments on your behalf.

We read only the data covered by the permissions you approve, and only when a feature you use needs it.

What Instagram data we store

  • The access token Instagram issues to Atwork for your account.
  • Your Instagram account id (and the app-scoped id Meta assigns to Atwork).
  • Your Instagram username.

Media, insights and comments are fetched when a feature needs them and are kept in your workspace only where you or your workflows save them there.

Why we use it

We use Instagram data only to provide the features you turn on, for example publishing scheduled posts, showing post performance, or running workflows on new comments. We do not use it for advertising.

How long we keep it

We keep the stored data until you disconnect the Instagram account or until we receive a deletion request from you or from Meta. We then delete the access token, account id and username for that account and stop the automation triggers that used it.

How to delete your Instagram data

  • Disconnect the Instagram account in Atwork, under Integrations.
  • In Instagram, open Settings → Apps and websites and remove Atwork. Meta then notifies us and we delete the data automatically.
  • Email [email protected] and ask us to delete it.

What we do not do

We do not sell Instagram data, and we do not use it to train AI or machine-learning models, ours or anyone else's. We share it only with the sub-processors that host and operate our infrastructure, within your workspace according to its permissions, and where the law requires.

7. Cookies and similar technologies

We use:

  • Strictly necessary cookies to sign you in, keep the Service secure and remember essential settings. These are always on.
  • Functional cookies to remember preferences.
  • Analytics cookies to understand usage and improve the Service — set only with your consent where required.

You can control non-essential cookies through your browser settings or any cookie controls we provide.

8. How we share personal data

We share personal data only as described here, and we never sell it:

  • Service providers / sub-processors who help us run the Service (e.g. cloud hosting and storage, payment processing, email delivery, analytics and AI providers), under contracts that require them to protect the data and use it only to provide services to us.
  • Within your workspace: Customer Content is accessible to members and guests of your workspace according to the permissions the workspace administrators set.
  • Legal & safety: where required by law, to respond to lawful requests, or to protect the rights, safety and property of Atwork, our users or the public.
  • Business transfers: in connection with a merger, acquisition or sale of assets, subject to this Policy.
  • Aggregated / de-identified information that cannot identify you.

9. Sub-processors

We use a limited set of vetted sub-processors to deliver the Service. Our current sub-processors are listed at atwork.so/subprocessors. We require each to provide an adequate level of data protection.

10. International data transfers

We aim to store Customer Content in the region we tell you about. Where personal data is transferred outside your country or the European Economic Area, we rely on appropriate safeguards — such as the European Commission’s Standard Contractual Clauses or an adequacy decision — to protect it. You can ask us for more information about these safeguards.

11. How long we keep data

We keep personal data for as long as your account is active and as needed to provide the Service. After your account is closed, we delete or de-identify Customer Content within a commercially reasonable period, except where we must retain certain records to comply with legal, tax or accounting obligations, resolve disputes or enforce our agreements. You can request deletion as described below.

12. How we protect data

We use technical and organizational measures appropriate to the risk, including encryption of data in transit, access controls, least-privilege practices, logging and regular review. No method of transmission or storage is completely secure, but we work to protect your data and to notify you and the relevant authorities of a data breach where the law requires.

13. Your privacy rights

Depending on where you live, you may have some or all of the following rights over your personal data:

  • Access a copy of your data;
  • Rectify inaccurate or incomplete data;
  • Erase your data (“right to be forgotten”);
  • Restrict or object to certain processing, including direct marketing;
  • Data portability;
  • Withdraw consent where we rely on it; and
  • Not be subject to a decision based solely on automated processing that produces legal effects.

To exercise these rights, contact us at [email protected]. Where your data is Customer Content and we act as a processor, please direct your request to the workspace organization that controls it; we will support them. If you are in the EEA or UK and believe we have not handled your data properly, you may lodge a complaint with your local supervisory authority (for us, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens)).

14. Additional information for California residents

If you are a California resident, you have the right to know what personal information we collect and how we use and disclose it, to request access to and deletion of your personal information, to correct inaccurate information, and to opt out of the “sale” or “sharing” of personal information. We do not sell or share personal information as those terms are defined under California law. We will not discriminate against you for exercising your rights. To make a request, contact [email protected].

15. Children’s privacy

The Service is intended for organizations and people aged 16 and over. It is not directed to children, and we do not knowingly collect personal data from children. If you believe a child has provided us personal data, contact us and we will delete it.

16. Third-party links and services

The Service may link to or integrate with third-party websites and services that we do not control. Their privacy practices are governed by their own policies, and we encourage you to review them.

17. Changes to this Policy

We may update this Policy from time to time. We will post the updated version here with a new effective date and, where the changes are material, take reasonable steps to notify you.
